The totals are easy. Getting to them is the season.

A tax return needs a handful of figures: income, and spending broken into the lines the form asks for. Getting there from a year of statements means every transaction typed or pasted into a spreadsheet, each one assigned to a line, and a pile of charges nobody can identify set aside to ask about. The arithmetic takes minutes. The transcription takes days, happens under a filing deadline, and produces a spreadsheet whose totals cannot be traced back to a statement when a figure is questioned.

How it works

From January's PDF to the figures on the form

  1. 01

Load the whole year at once

Twelve checking statements, twelve card statements, the savings account: all in one upload. Each is read and its balances reconciled, so a missing month or a short page is visible before you total anything.

Import dialog on the upload tab, accepting PDF, CSV, Excel, and JSON files up to 50 MB each.
The import dialog taking a year of statements as PDF, CSV, or Excel, several at once.
  2. 02

Sort to the categories the return uses

Transactions arrive categorized. Rename or add categories to mirror the lines your return or your accountant works from, and re-sort a whole selection in one action.

The transactions ledger, with the row selection column called out for editing a whole range at once.
A selection of transactions recategorized together from one menu.
  3. 03

    Tag what needs a decision

Mark lines #tax-deductible, #ask-client, or #personal as you go. Tags sit alongside the category and travel with the row into the export, so the open questions reach whoever prepares the return.

  4. 04

    Check the categories add up

Open a category to see its rules, its total, and the transactions that make it up, and catch the one grocery run filed as office supplies before it reaches a schedule.

The Categories and Tags list, with the rules column called out beside each category.
Each category shows its rules, its transactions, and the totals they add up to.
  5. 05

    Export the tax year

Filter to the tax year's dates and export to Excel or CSV with date, description, amount, category, and tag columns, ready to total by category or hand to the preparer.

What makes the year hold up

Any tax year, not just the calendar

Filter by date range, so a tax year running April to April exports as cleanly as January to December.

Tags for the open questions

Any number of tags per transaction, exported as their own column, for the lines that need someone's judgement.

Balances checked on intake

Each statement's rows are reconciled to its printed opening and closing balances, so the year's totals rest on complete statements.

Spreadsheet-native export

XLSX or CSV with configurable columns and presets, ready for a pivot table by category or for your preparer's own template.

Receipts for the big items

Photograph or upload the receipts behind large purchases and read their vendor, date, tax, and total out beside the originals.

Locked PDFs are fine

Password-protected and scanned statements are read like any other, so the older months your bank only kept as images still count.

FAQ

Common questions

Does Bankflow file my taxes or tell me what I can deduct?

No. It turns statements into categorized, tagged transactions and totals you can trace. Which lines are deductible, and how they map to your return, is for you and your tax adviser to decide.

My tax year does not run January to December.

Filter to any date range before exporting. The export covers exactly the transactions your current filters show.

Can I use my own categories?

Yes. Add, rename, and nest categories with subcategories. Rules can then assign transactions to them automatically on every statement, including ones already imported.

How far back can I go?

As far back as you have statements. Bankflow reads the file rather than a bank feed, so a statement from years ago is read the same way as last month's.

How do I prove a total if it is questioned?

Every transaction is linked to the statement and page it came from, and each statement's balances were reconciled when it was read. A category total can be opened to the rows behind it.

How much does a year of statements cost?

One credit is roughly one standard page. The free tier includes 50 page credits; plans with more monthly credits are on the pricing page, and every plan includes every feature.
